Training Grant Toolkit

Our Process

The Training Grant Support Team (TGST) is here to help with your submission. Once our team is aware of a pending submission we will set up a meeting with participating PI’s and their team. TGST has a specific timeline that we follow and depending on the type of submission we require three to four months of preparation. Accordingly, TGST prefers to be notified of the faculty member’s intention to submit a grant at least four months before the grant is due.

Key Steps

For faculty and administrators interested in learning more about submitting a proposal, please fill out this intake form. Once the form is received, you will be contacted by someone from TGST to set up an initial meeting. At this meeting, we will review what areas of the proposal we can assist with, and how. This generally includes the required data tables, biosketch collection, template language for several areas of text, and assistance with the institutional letter of support.

TGST will serve as the point of contact for all faculty trainers participating on the grant in order to collect faculty and trainee information that is used for the tables and other components of the submission. However, we do prefer that the PI of the submission first sends out an invitation email to the faculty trainers to receive their consent for participation and inform them that someone from OGS will be contacting them shortly.

Once the PI invites faculty to participate as trainers in the training program, our office will serve as the point of contact for all confirmed faculty trainers. We will collect faculty and trainee information used for the tables and other components of the submission. Our office will generate the data tables, and review them for accuracy and consistency.

Data for the tables is sourced from faculty trainers' self-reported data, Cognos, Workday, GSIM, NIH Reporter, xTRACT, and PubMed. Drafted tables are shared with the PI team to allow for edits and any adjustments requested. We ask that PI’s and administrators work with our team to adjust the tables rather than making the edits themselves to ensure accuracy and consistency across applications. NIH data table instructions, samples and blank tables can be found on the NIH website.

Our office is able to additionally support your application through assistance with the following components:

  • Collection and review of faculty trainer biosketches
  • Institutional Letter of Support template language for applications within BioMed along with coordination of review and signatures. Please note, this support is primarily limited to BioMed applications and the PI team will need to include program/department-specific language, coordinate and confirm specific commitments.
